Job Summary:

The Practice Associate III is responsible for the patient welcome experience functions, general administrative work, and scheduling and coordinating of surgical and in-office procedures and other specialty services. This position is also a lead role that supports peers with expertise, organizational knowledge and guidance in support of the day-to-day operations of practice and patient care in the Department of Urology. The Practice Associate III is part of a team that delivers an exceptional patient experience that contributes to positive health outcomes for patients and a work culture of Service-Oriented, Trust, Empathy, Safety, Inclusion, and Communication

Job Responsibilities:

Scheduling and Coordination of Surgeries and Other Specialty Services

  • Organize received surgical requests and coordinate the scheduling of surgical procedures in Epic.
  • Schedule post-operative and other follow-up appointments and other related tests as requested by the physician in a timely and accurate manner.
  • Act as the primary contact for patients and responding to telephone inquiries in a timely manner and in accordance with department policy. Assist them with obtaining medical clearance, EKG’s, and HNP when necessary.
  • Provides instructions to patients in a manner that facilitates patient safety and standard operations for the practice.
  • Function as a liaison between the resident, attending physician, patient, and the OR, and patient with all aspects of the surgical scheduling.
  • Ensure that patients have appropriate instructions related to the surgery, including pre-and post-operative directions.
  • Verify patient insurance eligibility, benefits, and coordination of benefits prior to the procedure date. Inform the patient on fees and ensures collection of pre-surgical and pre-procedure payment.
  • Conduct all pre-determination, authorization and pre-certification. Manage these processes and documentation closely to ensure no scheduling delays.
  • Maintain follow up of projects/reports and inform physicians and managers of critical situations or changes.
  • Obtain authorization for prescriptions, assist in processing purchase if necessary, track receipt of medication and document patient receipt and administration of medication.

Patient Experience (Welcome/Check in/Check Out Functions)

  • Greet patients and visitors using excellent customer service skills using appropriate verbal, written techniques when scheduling or conveying information to patients, visitors, physicians, nurses, or ancillary staff.
  • Conduct pre-registration, check-in, check-out, appointments and other related tasks as requested by the physician in a timely and accurate manner.
  • Obtain all required registration and intake information from patients; verify and/or update any new insurance or other information in EPIC; obtain prior authorizations and referrals for visits and tests and verifies eligibility for services; accurately indicate arrivals, no-shows, reschedules and physician cancellations in EPIC; collect all time-of-service and past due payments.
  • Follow end of day closing procedures.
  • Performs other related duties as assigned by practice management.
  • Manage and review physician’s schedules to ensure all authorizations and pre-certifications for office visits, injections and procedures are obtained.

Workplace Safety Guidelines

  • Ensures overall condition of workspace area is clean and safe according to practice standards. Escalates any issues to Environmental Services, Engineering, Central Sterile, Materials Management, etc. and ensures follow through.
  • Ensures inventory and adequate supply of personal protective equipment and other hygiene products in point of entry and mixed use areas. Informs manager if inventory needs replenishment.
  • Conducts regular rounding of point of entry, elevators, stairwells, and mixed use space areas to proactively address issues/repair with furniture, monitors, or other equipment. Enters appropriate tickets for escalation (IT, Engineering) when issue identified during rounding or observation.
  • Engages Security on day to day matters or when appropriate.

General Administrative Support

  • Assists Supervisor/Manager with special projects, using data and system reports to identify trends, troubleshoot, and supervise specific tasks as determined by Manager/Supervisor.
  • Assists with onboarding new staff by serving as a mentor and sharing knowledge and experience.
  • Serves as a first point of escalation for complex cases or scheduling issues. Applies organizational knowledge, experience, and critical thinking skills to determine resolution and/or escalate as appropriate.
  • May serve as team point person and/or backup to Supervisor when tasked.
  • Answer telephones, make appointments, handle and redirect inquiries as appropriate.
  • Resolves, responds to, and follows-up with all assigned in-baskets and work queues. Prioritizes assignments when there are changes in workload, assignments, backlogs, competing priorities and/or a heavy workload lo ensure deadlines are met.
  • Contribute to the team by providing support and back-up coverage as needed and directed by Manager.
  • Provide suggestions and recommendations to improve workflow, communicate and overall protocols in an effort to better serve the needs of the patients and department.
  • General faxing, filing, and mail sorting.
  • Provide general administrative support to physicians and manager.
  • Other duties as assigned.

Job Qualifications:

  • High school diploma or equivalency is required.
  • A minimum of 5 years’ experience in a medical office environment with strong proficiency of medical terminology and surgical scheduling.
  • Candidate must demonstrate strong customer service orientation and the ability to deliver consistent exceptional service while demonstrating tact, respect and sensitivity.
  • Candidate must be organized and be able to manage a demanding workload and moderately complex cases in an accurate and timely.
  • Ability to participate as a member of a team, including reliability, punctuality, and adaptability to new and changing situations.
  • Ability to work independently and follow-through and handle multiple tasks simultaneously.
  • Candidate must demonstrate excellent verbal and written communication skills.
  • Ability to work collaboratively with a culturally diverse staff and patient/family population demonstrating tact and sensitivity in stressful situations.
  • Strong proficiency of Microsoft Office (Word & Excel) or similar software is required and an ability and willingness to learn new systems and programs.
  • Must be a motivated individual with a positive mindset and exceptional work ethic.

Hourly Rate Ranges: $27.40 - $35.16
