Job Summary:

We are seeking a dedicated and experienced Certified Medical Assistant (CMA) to join our healthcare team in Pediatric Nephrology and Pediatric Infectious Diseases. The CMA will serve as a key member of the patient care team in an ambulatory setting. This position will work closely with providers across multiple specialties as well as with other clinical and administrative staff to deliver an exceptional patient experience that contributes to positive health outcomes for patients and a work culture in alignment with our values of Service-Oriented, Trust, Empathy, Safety, Inclusion, and Communication.

Job Responsibilities:

  • Greet and interact with patients, visitors, vendors, and all faculty and staff.
  • Prepare patients for their visit including:
    • Coordinate patient flow with physician(s) and medical secretary
    • Settle patient in exam room and prepare patient, as necessary
    • Assist physicians with patient treatment and procedures, including venipuncture
    • Take vital signs: temperature, weight, height, blood pressure, conduct blood, urine tests and other measurements as needed
      • Label and process specimens with required data (name, MRN #, DOB, date of service, MD name)
      • Handle/ship/deliver specimen samples appropriately
      • Record daily all outgoing specimens in appropriate log system
      • Document results in EPIC
      • Complete paper requisitions, as necessary for all diagnostics
    • Provide phlebotomy services
    • Retrieve lab results from CUMC or NYPH labs, as well as outside labs
    • Enter A1C and blood glucose measurements into EPIC
    • Maintain clean and orderly patient exam rooms after each patient visit
    • Maintain clean and orderly medical assistant stations and workrooms
    • Responsible for prescription follow up with physician
    • Maintain supplies in physician exam rooms, as well as phlebotomy and lab supplies
    • Responsible for cross-covering with other Medical Assistants as needed & front desk daily during lunch and as needed
    • Meet and greet patients
    • Verify/update all patient insurance & demographic information
    • Process patient arrivals through the EPIC system indicating arrivals and no-shows; confirm that proper referrals and/or pre-certifications are in place; contact referring physicians, as necessary, for referrals or pre-authorizations.
    • Collect all co-pays and patient fees (cash, check, or credit card) at time of service.
    • Review in EPIC system, patient unpaid balances and notify Billing Office for follow up
    • Collect outstanding balances and/or provide patient with Billing office contact information to resolve outstanding balances
    • Receive all pending patient medical records, scans and reports and scan documents into epic (i.e., Intake form, referrals, and insurance info.)
    • Preparing and maintaining medical charts
    • Copying and mailing requests for medical records, ensuring HIPAA compliance
    • Performing additional check-out functions such as scheduling and referrals
    • Answering telephone calls and taking accurate phone messages
    • Handle batch scanning for all division documents
    • Responsible for division’s letter work queue
    • Review incoming faxes
    • This clinic requires the CMA to perform full scope of front desk duties in conjunction with CMA duties
    • Contribute ideas for improving practice workflows to team members, providers, and management
    • Maintain patient privacy according to HIPAA requirements at all time
    • Keep current on all organizational, practice, and patient privacy policies (e.g. infection control, HIPAA, and required trainings)
    • Any other related duties as assigned.
  • CMAs cannot perform:
    • Set up or manipulate any sterile field.
    • Perform pre-procedural preparation/disinfection (setting up a sterile field).
  • Perform additional specialty-specific duties as assigned and based on clinical operation needs.

Job Qualifications:

  • High school graduate or equivalency and graduated from an accredited Medical Assistant program, plus specialized certifications as needed.
  • CMA must be certified by a credentialing body.
  • Current BCLS/AED certification required.
  • Must demonstrate strong organizational and problem-solving skills. Ability to perform across multi- disciplinary and/or specialties while maintaining high productivity and a professional and service- oriented demeanor.
  • Ability to work with a variety of individuals and groups in a constructive and respectful manner while appreciating the unique contributions of an inclusive workforce that brings together the talents of people across multiple identities.
  • Strong commitment to fostering diversity and equity.
  • Must have excellent communication skills, interpersonal skills, and a strong ability to deescalate stressful situations.

  • Basic proficiency in computer skills including, but not limited to, Electronic Health Systems, Microsoft Excel, Microsoft Word, email systems, etc.
  • Must be a motivated individual with a positive mindset and exceptional work ethic.
  • Will provide coverage as requested throughout practices (multiple sites and flexible schedule).
  • Associate degree or additional academic coursework preferred.
  • Previous medical assisting experience in an outpatient setting preferred.
  • Proficiency with OSHA standards including disposal of biohazard waste preferred.
  • Multi-specialty experience in a high-volume setting preferred.
  • Prior EMR experience, Epic preferred.

Hourly Rate Ranges: $22.05 - $33.84

Note: Our salary offers will fall within these ranges based on a variety of factors, including but not limited to experience, skill set, training and education.
