Division POD Specialist #Full Time

Job Summary:

The Division POD Specialist (Orthopedic Surgery) is an experienced professional with exceptional medical practice support and team leadership skills. Under the direction of the Supervisor and/or Manager, the Division POD Specialist provides day to day guidance, support and coordination of all practice related activities in the division pod ensuring quality, integrity and adherence to organizational guidelines and policies.

Job Responsibilities:

  • Monitor specific work queues including but not limited to pre-registration, in-basket management, etc. within the division-specific pod. Share learning tools to improve inefficiencies.
  • Schedule post-operative, referrals, follow-up appointments and other related tests.
  • Respond to financial information inquiries such as explanation of charges, out-of-network benefits, out-of-pocket expenses and related activities. Obtain prior authorizations & referrals for follow-up care. Assist staff with complex or highly sensitive cases. Mitigate issues and respond to physician/patient concerns.
  • Lead division specific pod huddles to ensure consistent transfer of information, smooth patient flow and team-driven coordination of care and services.
  • Serve as direct liaison on all scheduling protocol processes and updates. Escalate issues to Supervisor/Manager as appropriate.
  • Assist Supervisor/Manager with special projects as needed. Identify trends, troubleshoot and resolve issues.
  • Provide educational sessions to train new staff. Track compliance, education and training requirements of the pod.
  • Lead a collaborative team-oriented environment. Facilitate team discussions. Help identify solutions and take ownership for resolve practice conflicts. Communicate with management team and providers to resolve issues.
  • Provide feedback to Supervisor surrounding pod staff performance. Keep Supervisor aware of any issues .
  • Foster effective collaborative relationships with peers and other subject matter experts (SMEs) to seek resolution of issues identified through monthly audits.
  • Review all pod-specific MD OR schedules for compliance with authorization, medical clearance and are financially cleared.
  • Review EPIC surgical depot for all indicated surgical patients.
  • Ensure MD specific pod is properly utilizing all assigned OR rooms.
  • Ensure all OR cases have proper insurance authorization collected and obtained.
  • Confirm the surprise good faith estimator is reviewed/collected for all out-of-network and self-paying patients.
  • Scrub all MD pod specific OR and office schedules for accuracy.
  • Perform other related duties as assigned.

Job Qualifications:

  • Associate's degree required, may be substituted by 2 years of relevant experience.
  • Minimum 5 years' relevant experience in a medical setting including training/coaching staff.
  • Prior experience in OR scheduling required.
  • Candidate must demonstrate strong customer service orientation and the ability to deliver consistent exceptional service.
  • Candidate must be organized and be able to manage a demanding workload and moderately complex cases.
  • Ability to mentor teammates and demonstrate professional/compassionate manner while conveying a positive image of the practice.
  • Candidate must demonstrate excellent verbal and written communication skills. Must be able to communicate to multiple stakeholder audiences.
  • Strong proficiency of Microsoft Office (Word & Excel) or similar software is required and an ability and willingness to learn new systems and programs.
  • Related certifications or coursework is preferred.
  • Prior experience in EPIC/EHR is preferred.
  • Bilingual English/Spanish a plus.

Hourly Rate Ranges: $39.56 - $50.00

Note: Our salary offers will fall within these ranges based on a variety of factors, including but not limited to experience, skill set, training and education.
