Administrative Coordinator #Full Time

Department: Med - Heart Valve Center
Location: New York, NY

Job Summary:

The Administrative Coordinator functions within the Clinical Coordination Service as the main point of contact for communications with patients and family members who wish to schedule an appointment at Structural Heart & Valve Center, including new patient appointments and follow up appointments and ancillary testing. The Coordinator will work closely with the other members of the clinical coordination service to ensure that patients are scheduled and evaluated in a timely manner. The Clinical Coordinator will prepare all patients appropriately for their appointments including the dissemination of patient information and required forms, and other communications as necessary.

The candidate must be able to work collaboratively within a diverse team of professionals and must be a highly organized and efficient individual. The candidate must have excellent communication skills and be able to work individually and as part of a team. The candidate must acknowledge that the patient is our highest priority.

Job Responsibilities:

  • Responsible for scheduling all outpatient appointments
  • Enters all patient demographic information into the EMR
  • Responds to calls from patients/family members requesting appointments with a commitment to returning calls in a timely manner (same day call back).
  • Conducts initial and follow-up communications with patients and family members.
  • Oversees assembly and dissemination of information packets to all new patients including required forms. And updating these materials as needed.
  • Collects and scans medical into electronic database (EPIC)
  • Follows-up with "no-show" patients and cancellations.
  • Schedule testing, procedures, pre procedure labs (including COVID swabs), follow up appointments and maintains a running list of studies scheduled
  • Maintains and updates appointment schedules and calendars in EPIC.
  • Obtains authorization and referrals as needed and secures all office visits.
  • Administrative functions as needed

Job Qualifications:

  • High School Diploma or GED equivalency required.
  • Minimum 2 years' experience required.
  • Previous experience in a medical office required.
  • Must be able to manage multiple cross-functional communications and process in a timely manner.
  • Must have a high degree of professionalism in all communications.
  • Must possess strong communication skills and the ability to speak with many diverse stakeholders.
  • Ability to build interdepartmental relationships.
  • Must think strategically and problem solver.
  • Experience in managing complex schedules.
  • Bilingual (Spanish) desired

Hourly Rate Ranges: $23.32 - $34.62

Note: Our salary offers will fall within these ranges based on a variety of factors, including but not limited to experience, skill set, training and education.
